Emails to PDF with Bates numbers, page numbers and hashes

Produce emails for litigation or audits: one PDF per email with continuous Bates numbers, page numbers, a merged bookmarked PDF and SHA-256 hashes in index.csv. Runs locally.

When emails go to opposing counsel, a regulator or an auditor, each page needs a unique number and you need a log. Mailtrail Pro stamps continuous Bates numbers (your prefix, start number and digit count) across all PDFs in export order, adds “Page X of Y”, and writes begin/end Bates numbers and SHA-256 hashes of every PDF and .eml into index.csv.

How to do it

  1. Open the converter in Chrome, Edge, Firefox or Safari. Nothing is installed and nothing is uploaded.
  2. Load the MBOX, EML, OLM or PST archive and narrow the set with folder, date and keyword filters (custodian, date range, search terms).
  3. Under Pro, tick Bates numbering and set prefix (e.g. ACME), start number and digits. Tick page numbers, SHA-256 hashes, and a merged PDF with bookmarks if needed.
  4. Export. Every PDF carries its Bates range bottom-right; index.csv lists bates_begin, bates_end, pdf_sha256 and eml_sha256 per email.

Order and continuity

Emails are numbered folder by folder, oldest first, with no gaps, even though PDFs are rendered in parallel. A failed email gets no number and is listed in errors.csv, so the sequence stays continuous.

Privacy for confidential matters

The archive never leaves your computer: there is no server-side processing to disclose to a client, no data-processing agreement to negotiate and nothing to delete afterwards.

This is a document-production helper, not a review platform: it doesn't de-duplicate across custodians, redact or produce load files.

What you get

Private by design

The conversion runs inside your browser tab with Web Workers. Your archive is never uploaded, and there is no server that could see it. You can even disconnect from the internet after the page loads. The only network call is the optional license-key check, which sends the key and a random device ID.
